Why AI Policies Are Essential for Churches

This policy below provides a principled, practical framework for staff, ministry leaders, and volunteers to use AI responsibly, ethically, and securely in service to your congregation and community.

1. Guiding Principles

Our use of AI tools (such as text generators, image creators, and administrative assistants) must always align with our core mission, values, and theological convictions.

  • Human-Centered Ministry: AI is a tool to enhance efficiency and spark creativity, never to replace pastoral care, human discernment, spiritual leadership, or authentic personal connection.
  • Truth and Integrity: We are committed to honesty and transparency in all communications. AI-generated content must be rigorously vetted for accuracy, bias, and alignment with biblical truth.
  • Stewardship: We strive to use technology wisely to save time and resources, ensuring our focus remains on people and ministry impact.

2. Permitted Uses (Green Light)

AI tools may be used to assist with operational, administrative, and creative support tasks, including:

  • Brainstorming & Outlining: Generating sermon illustration ideas, small group discussion questions, or series themes (always subject to human review and refinement).
  • Drafting Assistance: Creating initial drafts of newsletter summaries, social media captions, volunteer schedules, or meeting agendas.
  • Editing & Proofreading: Checking grammar, rephrasing announcements for clarity, or translating text for multilingual outreach.
  • Administrative Support: Organizing data, summarizing long reports, or drafting routine email templates.

3. Prohibited Uses (Red Light)

To protect our community and maintain trust, AI must never be used for the following:

  • Pastoral Care & Counseling: Providing spiritual guidance, crisis response, counseling, or confidential pastoral correspondence to individuals.
  • Doctrinal Authoring: Generating core doctrinal statements, theological declarations, or publishing spiritual content without direct, rigorous human authorship and theological oversight.
  • Deceptive Representation: Presenting AI-generated text, art, or synthetic media as purely human-created without appropriate context, or using deepfake audio/video of staff and leaders.
  • Bypassing Accountability: Final decision-making regarding leadership, finance, personnel, and disciplinary matters must always remain in human hands.

4. Data Privacy & Confidentiality

Protecting the privacy of our congregation, staff, and donors is paramount.

  • No PII Input: Never input Personally Identifiable Information (PII) into public or free AI models. This includes member directories, counseling notes, financial records, prayer requests with identifying details, and minor’s information.
  • Sensitive Data: If using paid enterprise AI tools with strict data-privacy agreements, staff must still exercise extreme caution with sensitive church operational data.
  • Copyright Awareness: Be mindful of intellectual property. Do not upload proprietary curriculum, copyrighted graphics, or confidential internal documents into public AI tools that train on user inputs.

5. Transparency & Attribution

  • Human Oversight: Every piece of AI-assisted content must be thoroughly reviewed, edited, and approved by a staff member or designated leader before publication or distribution.
  • Disclosure: While standard administrative use (like grammar checking or routine scheduling) does not require a disclaimer, substantial AI-generated creative works, graphics, or public policy announcements should include transparent attribution where appropriate.
